Read Ai Notice
It has come to the Nanaimo Divisions attention through various partners and employees that the Read Ai application has presented itself in their meetings or sent itself to meetings on their behalf. After investigating this application, we have found that it presents various security and privacy risks that we have deemed serious enough to prohibit this application from accessing/attending Nanaimo Division run meetings. In addition, our employees are prohibited from using the application or accessing meetings notes/summaries provided by the application. For further information, please read below.
Why Prohibit Read Ai?
The application does not align with the Nanaimo Division Privacy and Ai policies in addition to being a data security risk:

It does not require the consent of meeting organizers or attendees to attend and summarize meetings.

The applications has been found to stay in meetings, continuing to record and summarize even after it has been removed from the participant list.

The application is not user friendly and requires stringent configuring in order to not infiltrate your calendar, your contact lists and attend meetings on your behalf even if you have declined them.
What Can I Use Instead?
Unfortunately, the Nanaimo Division will not allow the use of third party note taking applications at this time. We strive to make this not necessary by providing administrative support during meetings for note taking or by using Zoom’s AI Companion to generate summaries if administrative support is not available. When available, meetings summaries/notes will be shared with participants in a timely manner or upon request.
